The booking summary controls the booked date, start time, duration, tax treatment and total price.
4. Membership term, capacity and renewal
- Essential memberships are offered for 3 or 12 months; Unlimited memberships are offered for 6 or 12 months. The shortest plan offered is three months.
- Membership begins on the start date shown in the membership contract or purchase confirmation and expires at the end of the selected term.
- Memberships do not automatically renew unless you later give express agreement to a separate renewal arrangement that complies with applicable law.
- Membership benefits are subject to the 60-active-member cap, table availability, operating hours, maintenance closures, safety restrictions and the booking rules in these Terms.
- Section 8 explains how cancellation is handled.
5. Reservations, cancellations and attendance
5.1 Weekly limits and fair use
- A week runs from Monday through Sunday for purposes of the reservation limit.
- Each confirmed table booking counts as one reservation. Splitting a continuous visit into multiple bookings, using another account, or coordinating bookings to evade a limit is prohibited.
- Unused weekly reservations do not carry forward. Benefits have no cash value and may not be transferred.
- A member must be present throughout a reservation made using that member’s rate or benefit. If the member is absent, the non-member rate may apply.
5.2 Booking cancellation and no-shows
You can cancel a reservation free of charge up to 6 hours before the booked slot.
- After that time, no refund will be issued.
- If you arrive late, the lost play time will not be refunded or made up. A no-show is not refunded.
- If Club Pong cancels a paid reservation, we will offer a reasonable rebooking, account credit or refund, as required by law and the circumstances.
5.3 Guests and open play
- A guest pass covers the guest benefit identified in the booking flow; it does not create a membership and cannot be exchanged for cash.
- Guest passes reset at the beginning of each three-month segment and unused passes do not roll over.
- The inviting member must attend with the guest and is responsible for making the guest aware of these Terms and the club rules.
- Open play is subject to the posted schedule, capacity and format. Paying an open-play fee does not guarantee a private table.
6. House rules and acceptable use
You and your guests must use the club only for lawful table-tennis, recreation, instruction or event activities authorized by Club Pong. The following house rules apply at all times:
- Every person entering the club must be registered and have an account. Guests may enter and remain only while the inviting member is physically present. To the extent permitted by law, the member is liable for each guest's conduct and is responsible for ensuring each guest follows these Terms and the house rules.
- A maximum of 4 people are allowed to enter on each reservation, as long as the table is paid for in full.
- Drug use, alcohol abuse, gambling, inappropriate behavior, threats and violence are prohibited.
- Smoking and vaping are prohibited. Candles, incense and all other open flames are prohibited.
- Do not create excessive noise, disturb other users or engage in conduct that interferes with anyone else's safe and reasonable use of the space.
- Do not damage, alter or modify the premises, fixtures, tables, barriers, paddles, balls, access systems or other equipment. Use all equipment only as intended.
- Minors must be supervised by an adult at all times, with at least one supervising adult for every four minors.
- Do not charge anyone a fee for using the space, including through coaching, events, rentals or other paid activities, unless Club Pong has given prior written consent.
- Be courteous and respectful toward members, guests and others in the club. Harassment and discrimination are prohibited.
- Wear appropriate clothing and footwear for the activity and premises.
- Follow all posted rules, safety instructions, occupancy limits, emergency procedures and building rules.
- Leave the space clean, tidy and undamaged. You are responsible for the reasonable, documented cost of repair or extraordinary cleaning made necessary by your conduct or your guests' conduct, beyond normal wear and tear.
- Provide valid identification if Club Pong reasonably requests it for identity, age, account, access, payment, safety or incident-management purposes.
- Personal belongings may be stored in the lockers provided for clients at the facility. To the extent permitted by law, Club Pong is not responsible for personal property lost, stolen, damaged or left behind.
- Report misconduct or suspected unlawful conduct first to the appropriate authorities and then promptly to Club Pong. You and your guests must also comply with all applicable laws. Entry into restricted areas, theft, and tampering with security, access or booking systems are prohibited.
7. Payments, charges and refunds
- You must pay the total price shown before confirming a purchase. The applicable taxes and whether they are included in or added to the displayed price will be disclosed before purchase.
- A payment processor may place an authorization hold or process the charge. Its terms and your card issuer’s rules may also apply.
- You authorize charges you expressly approve at checkout and reasonable charges for additional time or items you request during a visit, if the amount or method of calculation is disclosed before you incur it.
- You are responsible for the reasonable, documented cost of repairing damage or extraordinary cleaning caused by your fault or that of your guests, beyond ordinary wear. Club Pong will provide the basis of any charge and will not impose a prohibited fixed penalty.
- Card on file: By providing a payment card for your account, you authorize Club Pong to have the payment provider keep the card on file and to charge it for amounts you owe under these Terms, including the reasonable, documented cost of damage or extraordinary cleaning and charges under the Infractions Policy. Club Pong will provide the basis of any such charge.
- Except as stated in these Terms, at checkout, or required by law, completed sessions and properly provided services are non-refundable.
8. Cancelling a membership
8.1 How to cancel
Send a clear written cancellation notice by email to Info@club-pong.com or through the contact method made available in your account or on www.club-pong.com. You may also call (514) 927-3751 for assistance with the cancellation process. A notice is effective on the date required by applicable law. Keep a copy of your notice and any confirmation.
9. Privacy, cameras and electronic communications
Club Pong collects, uses, retains and discloses personal information only as described in its separate Privacy Policy and as permitted by Québec privacy law. The Privacy Policy explains the purposes of collection, service providers, safeguards, retention and privacy rights. Club Pong Inc’s person responsible for the protection of personal information may be contacted by email at Info@club-pong.com, by mail at 3751 Wellington Street, Verdun, Québec H4G 1V1, Canada, or by phone at (514) 927-3751.
- Security cameras may operate in the club for safety, access control, incident review and protection of people and property. Camera use, access and retention are described in the Privacy Policy and on appropriate notices.
- Club Pong will not use an identifiable photo, video or recording of you or a minor in your care for advertising or promotion without separate valid consent.
- Transactional email or text messages may be used for confirmations, receipts, access information, schedule changes, safety notices and account administration. Marketing messages require any consent mandated by law and will include an unsubscribe method.
- Where consent is legally required for a secondary use of personal information, it will be requested separately rather than bundled into acceptance of these Terms. Text messages (SMS). By providing your mobile phone number, you agree to receive text messages from Club Pong Inc at the number provided, sent using an automated system. Consent is not a condition of purchase. Message frequency varies. Message and data rates may apply. Reply STOP to cancel or HELP for help. For additional assistance, contact Info@club-pong.com or (514) 927-3751. Carriers are not liable for any delayed or undelivered messages. See our Privacy Policy for how we handle your personal information.
10. Participation risks and personal property
Table tennis and related activities involve physical activity and ordinary risks, including slips, trips, falls, collisions, being struck by a ball or paddle, muscle strains and sprains. You must use reasonable care, assess your own ability to participate, stop if you feel unwell or unsafe, and follow all posted safety instructions. The Club Pong liability waiver, where presented, is a separate document and must be read on its own terms.
- You remain responsible for your own personal property. Report lost property promptly; Club Pong does not guarantee recovery or safekeeping.
- Club Pong is not responsible for loss caused solely by your own act, your guest’s act, or an inherent risk you knowingly accepted, except to the extent the law provides otherwise.
- Nothing in these Terms excludes or limits liability for bodily or moral injury, intentional or gross fault, or any other liability that cannot be excluded or limited under Québec law.
11. Digital services and intellectual property
Subject to these Terms, Club Pong grants you a limited, personal, non-exclusive, non-transferable and revocable right to use its website and booking tools for their intended purpose. Club Pong and its licensors retain their rights in the platform, branding, text, graphics, software and other content.
- Do not copy, scrape, reverse engineer, disrupt, overload, bypass security, introduce malicious code, or use automated tools against the platform except where the law expressly permits it.
- Do not impersonate another person, create fraudulent bookings, interfere with another account, or use the Services for unauthorized commercial activity.
- If a feature lets you submit content, you must have the right to submit it. You grant Club Pong only the non-exclusive rights reasonably necessary to host, display, moderate and process that content to provide the Services. Promotional use of an identifiable person remains subject to separate consent where required.
12. Third-party services
Payments, scheduling, messaging, access control or other features may be supplied by third-party service providers. Their services may be governed by separate terms and privacy notices. Club Pong remains responsible for its own obligations and will not use a third-party arrangement to avoid mandatory consumer or privacy law.
13. Suspension, termination and service interruptions
Club Pong may immediately restrict or suspend access where reasonably necessary to address safety, suspected fraud, unauthorized entry, serious misconduct, non-payment, a material breach of these Terms, or a legal requirement. Where reasonable, we will explain the reason and give an opportunity to correct a remediable breach. We will not arbitrarily cancel a fixed-term membership. Any termination by Club Pong will comply with the Consumer Protection Act, the Civil Code of Québec and other applicable law. If Club Pong ends a membership without member default, it will provide any refund or other remedy required by law. Operating hours, table availability and particular features may change because of maintenance, emergencies, safety needs, events or circumstances beyond reasonable control. If a material interruption prevents Club Pong from providing paid Services, we will provide the remedy required by law and may offer a rebooking, credit, term extension or refund as appropriate.
14. Changes to these Terms and prices
The version accepted at purchase governs a fixed-term membership. Club Pong will not unilaterally change an essential element of a fixed-term consumer contract where doing so is prohibited, including the term, price or core Services. Any permitted change will be made with the notice, information and cancellation rights required by law. Prices for future purchases may change. Current prices will be published at www.club-pong.com and posted at the club, and Club Pong will notify members of price changes before they take effect. A new price does not change an already confirmed booking or fixed-term membership unless the law permits the change and all required steps are followed.
15. Governing law and disputes
These Terms are governed by the laws of Québec and the federal laws of Canada applicable in Québec. Nothing in these Terms requires a consumer to submit a dispute to mandatory arbitration, waives a class-action right, or forces a consumer to bring a claim outside Québec where such a clause is prohibited. Before starting a formal proceeding, you and Club Pong are encouraged to exchange a written description of the issue and attempt a good-faith resolution. This does not suspend or shorten a legal limitation period or restrict access to the Office de la protection du consommateur, the Commission d’accès à l’information, a court or another competent body.
16. General provisions
- If part of these Terms is invalid or unenforceable, it will be read down or severed only to the extent necessary, and the remainder will continue to apply.
- A delay in enforcing a right is not a waiver of that right.
- You may not transfer a membership, booking or account without Club Pong’s written consent. Club Pong may not transfer a consumer contract in a manner that reduces the consumer’s rights.
- Headings are for convenience and do not change the meaning of these Terms.
- These Terms, the booking or membership confirmation, the separate Privacy Policy, the separate liability waiver, and any specific event terms form the agreement for the applicable Services. If they conflict, mandatory law prevails, followed by the more specific purchase terms, then these Terms.
17. Contacting Club Pong
